Case Study: East Suffolk and North Essex NHS Foundation Trust

The Challenge

When ESNEFT went to market for a managed print service provider, they had the ambitious goal of unifying three historically separate solutions across multiple NHS trusts under one seamless solution. They were dealing with three separate solutions from three different suppliers, which was causing inconsistencies and inefficiencies in terms of user experience, service delivery and technical support.

Cyber-resilience and the protection of sensitive patient data is of paramount concern to any NHS trust, and ESNEFT was no exception. Furthermore, they wanted the assurance that any potential suppliers would adhere to best practice ways of working and were compliant with relevant standards such as ISO 27001 and CyberEssentials Plus, so the procurement was done through the CCS RM6174 Framework.


A Unified Solution

Vision prepared a comprehensive print solution that has transformed ESNEFT’s print infrastructure, streamlining their processes with a meticulously planned and staged deployment strategy.

Vision work with a number of NHS Trusts throughout the UK, so understand the challenges faced within the sector. Vision’s approach is always to take the time to understand each client’s unique challenges, and East Suffolk and North Essex NHS Foundation Trust was no exception.

As sites and departments had different requirements, Vision took the time to conduct a workspace audit of the Trust’s operations across their entire estate. By looking at volumetric data, device utilisation, geographical mapping of the spaces, as well as other key data such as energy consumption and consumables use, Vision were able to ensure the solution they proposed was tailored to ESNEFT’s requirements in a way that enabled them to reinvigorate their operations and ensure optimal efficiency. 

Following the audit and analysis, Vision proposed a solution that not only met, but exceeded the objectives outlined by ESNEFT. This included a rationalised hardware fleet comprised of desktop mono printers, full colour multi-function devices and high-volume print room production equipment, totalling over 1000 devices.

With Vision’s Remote Fleet Management (VRFM) software, ESNEFT’s fleet would be able to be managed remotely, which led to the majority of technical issues being resolved without the need for an engineer to be deployed. The software’s predictive analytics capabilities would also enable consumables to be dispatched proactively before they ran out, ensuring business continuity.

Papercut was included across the board to enable secure, follow-me print in which would not only reduce the number of abandoned jobs (and in turn, cost) but also minimise the risk of sensitive data exposure; a top priority for any NHS Trust.

The Outcome

ESNEFT were able to realise a number of improvements and efficiencies as  a result of their new solution:

Substantial Cost Savings

ESNEFT saw a reduction of more than 25%in the overall cost of their new print solution, well as a 70% reduction in energy consumption and a double-digit drop in colour output when compared to the previous solution; which as an NHS Trust proved hugely valuable, enabling them to reallocate valuable funds elsewhere.

Improved Security

By implementing award-winning secure HP devices throughout their estate, alongside software such as Papercut software to  facilitate “follow-me” print to release print jobs only to authorised individuals, ESNEFT was able to bolster their security throughout their print estate.

Reliability

Thanks to VRFM, the majority of device issues were resolved without the need for on-site support and the platform’s predictive analytics capabilities enabled consumables to be dispatched before they ran out, delivering an exceptional 99.6% device uptime and valuable staff time saved.

Efficiency

Vision's workspace audit, which mapped locations, analysed usage data and mapped the various sites, ensured the most suitable devices were in the correct locations for optimal performance, and having a standardised fleet delivered an improved UX , ultimately boosting efficiency and enabling ESNEFT to improve their services.
